  • Primary Purpose of Position
    The Office of International Affairs is seeking Administrative Support Associate who is committed to diversity and equity and is motivated, collaborative, and detail-oriented individual to provide administrative support to the Office of International Affairs. The primary duties and responsibilities involve knowledge of the office or work unit policies and procedures in order to communicate information involving programs, functions, and services. Duties performed may include preparation of documents and reports, the use of office technology, compiling records, organizing and maintaining files, posting information in the university communications and other medium, greeting/referring/assisting visitors/students/faculty and staff/others, mail distribution, and digital travel portal. This position also serves as the budget administrator for the office, participating in overall fiscal planning for the Office of International Affairs (OIA), and formulating and refining short and long-term financial goals in consultation with the Director of the Office of International Affairs.

    Work Hours 8:00 am-5:00 pm, Monday - Friday

    Duties
    Must manage Budget in a clear, concise, organized manner. Explains and interprets policies & procedures related to budget and travel practices and internal controls.
    Required Competency Communication - Verbal/Written
    Duties
    The Administrative Assistant will compose and organize ideas logically, works in multiple formats such as letters, memos, reports or presentations, and can change/adjust style to meet the needs of the program and audience. Serves as a clearinghouse for communications, which includes prioritizing, disseminating, composing, and distributing information to the Office of the International Affairs personnel, students, faculty, and staff. Disseminates oral and written communications and information as requested to external and internal customers. Composes and organizes ideas logically, works in multiple formats such as letters, memos, reports or presentations, and can change/adjust style to meet the needs of the program and audience.
    Required Competency Administrative Duties
    Duties
    The Administrative Assistant will respond to inquiries from students, community partners, parents, employees, and business partners, and customers; maintain standards of confidentiality and privacy in accordance with the University, FERPA, student records, and any other protected documentation. This position will assist in managing the logistics of study abroad programs, general immigration status inquiries, and other processes and functions of the department. Recognizes, defines and resolves non-standard problems using operating procedures, practices and established precedents; resolves recurring issues and problems as well as some unique situations; anticipates problems and develops recommendations for management resolution. Other tasks include creating reports and correspondence, updating program materials, coordinating travel, managing calendars, scheduling meetings and events, and preparing and maintaining meeting minutes.

    The Executive Assistant will demonstrate professionalism and provide quality customer service in accordance with the University’s core values; maintain positive working relationships, and make decisions and solve problems. Maintain confidentiality, positive communication, accurate records, and an organized, safe working environment. Exhibit flexibility, willingness to learn, ability to change, and maintain current technology skills. Greets visitors, answers and routes phone calls to serve the needs of students and faculty; coordinates the student evaluation process; maintains and organizes academic documents, files, and records; assists with classroom evaluations; maintains office supplies and equipment including inventory, distribution, and requisitions.
    Required Competency Coordination - Work
    Duties
    The Administrative Assistant will provide general office support and coordination of programs, workshops, information sessions, and services for students, faculty, and staff with documented disabilities, Assist students with disabilities in using assistive technology, Assure fulfillment of appropriate standards and compliance in the delivery of services.
